Privacy Policy

How we handle the information you send us, written for POPIA.

What we collect

When you submit our contact form we collect only what we need to reply to you: your name, your business name (optional), your email address, your phone number (optional), the service you are interested in, and the message you write.

We do not collect special personal information, financial details, or identity numbers through this website.

Why we collect it

We process this information for one purpose: to respond to your enquiry, prepare a quote or demo, and follow up about the work you asked us about.

Our lawful basis under POPIA is your consent, given by ticking the consent box and submitting the form, together with our legitimate interest in responding to a business enquiry.

We do not sell, rent or share your information with third parties for marketing. We will not add you to a newsletter without asking you separately.

How it is stored and secured

When you submit the form, your details are written to a secure, access-controlled database hosted on our behalf by our cloud infrastructure provider, and our team reviews it there so we can reply from info@vacasaconsulting.co.za.

Enquiry records cannot be read from the website itself. They are only reachable by our server and by the Vacasa Consulting team members handling enquiries — currently the founder and any team member assigned to your project. We do not give third parties access, other than the cloud infrastructure provider that hosts the database for us under its own security obligations.

The site is served over HTTPS, so information you submit is encrypted in transit and at rest in the database. Accounts used to access enquiry data are password protected.

Retention: we keep enquiry records for as long as needed to serve you, and for a maximum of 24 months after our last contact, after which they are deleted. Any email correspondence about your enquiry follows the same 24-month period. If we take you on as a client, project records are kept for the period required by South African tax and company law.

You can ask us to delete your enquiry at any time by emailing us, and we will remove it from the database and from our email correspondence.

Your rights under POPIA

You may ask us what personal information we hold about you, ask us to correct or delete it, object to further processing, or withdraw your consent at any time. Withdrawing consent does not affect processing already carried out.

To exercise any of these rights, or to complain about how we handled your information, email us and we will respond within a reasonable period. You may also lodge a complaint with the Information Regulator of South Africa.

Cookies and analytics

We group cookies into three categories. Strictly necessary cookies keep the site working and remember your cookie choice — these are always on. Analytics cookies would tell us anonymously which pages get read. Marketing cookies would support advertising.

Today we run no analytics or marketing cookies at all. If we add any, they will only load after you switch that category on in the cookie banner, and never before.

Your choice is stored on your own device and you can change or withdraw it at any time using the "Cookie preferences" link in the footer.
